Effective Document Management
Many event and marketing managers have a tendency to underestimate the amount of documentation that goes into the successful planning of a campaign. It has become common practise for digital materials not to be backed up causing no end of headaches for the manager responsible. The only way to prevent this is to ensure that you have adequate document management controls in place. Getting into the habit of backing up campaigns and data will ensure that no presentation goes awry at the last minute.

Some of the most successful marketers do lack a lot of common sense in areas if IT. It is nothing to be ashamed of as after all, that is what an IT department is for. Yet it does no harm to ensure that you are familiar and aware of the systems and infrastructure available to you. A lot of large companies will tend to back up their servers with an external provider. This makes a lot of sense and can be highly cost effective. If you work for a company like this then you should have no trouble at all in ensuring your marketing data is kept safe.
However if you are a freelancer marketer contracting yourself out then you must be aware of some of the basic document management rules.
Always without fail, back up all your files
The number of people who fail to do this still beggars belief. Simply carry a USB stick with you wherever you go to keep a reserve copy of your work as back up just in case. You never know when your laptop or PC could suffer a fatal error.
Use your email
Email is primarily to communicate information. However it is also a useful storage device. By emailing yourself work you have created an additional copy of that work available to access whenever you need to from your account. Attaching documents as zip files further increases the space you have to store in your email.
Cloud Based Storage
Email will only store so much since it wasn’t initially designed for this purpose. Large files will need to be stored by other means. Everyone who’s got a Smartphone should be aware of all the latest cloud based systems around to store data. Iron Mountain is a popular provider to store data remotely allowing you to access your documents and files over the internet whenever you need to.
